What data do we keep?

We store the following essential information:

Enrolment forms: these contain the information given to us by parents when their children enrol for tuition. This usually includes names, addresses, phone numbers, email addresses and medical conditions that we may need to be aware of. This is to ensure that we have the relevant details needed for emergency contract, school year and any child protection information that parents/carers wish to share with us.

The collection of this information will benefit users by:

  • Keeping the students safe
  • Enabling staff to plan according to age, as well as ability (i.e., preparing for specific examinations)
  • Ensuring contact can be made with parents/carers in cases of emergency

This information is stored in a locked cabinet and an electronic copy will be stored in a secure cloud based DMS.

Our rules for data storage

Our data will be:

  • Accurate and up to date
  • Collected fairly and openly, and for lawful purposes only
  • Used by TY Tuition Learning within legal, moral, and necessary boundaries
  • Protected against any unauthorised or illegal access by internal or external parties

Our data will not be:

  • Communicated informally
  • Stored once the student is beyond school age
  • Transferred to any other organisations
  • Distributed to any other party other than the ones agreed upon by the data’s owner (exempting legitimate requests from law enforcement authorities)

In addition to ways of handling data TY Tuition Learning has direct obligations towards the people to whom the data belongs. Specifically, we must:

  • Inform people about how we’ll process their data
  • Inform people about who has access to their information
  • Have provisions in cases of lost, corrupted, or compromised data

Personal information provided to us through submission of an employment application will be used for analysis of suitability for a position available.

What sorts of personal information do we ask for?

  • Identifying and contact information (name, address, phone, emails, etc.)
  • A CV and cover letter outlining your job history, experience, education and skills as they relate to the position applied for.
  • Due to the nature of our business some positions require extra information to be provided or obtained to ensure compliance with child protection legislations
  • If hired, banking, Inland revenue, pension, and other related information.

We will not share information about you with third parties without your consent unless the law allows us to.
